The administrative coordinator will report directly to the Director of the Museum. The responsibilities include the following, but are not limited to: managing all aspects of the Director’s Office; working closely with the Board of Trustees, all Museum departments, senior staff, art world contacts, etc.; handling special projects and correspondence for the Director; assisting/working with the Director’s Executive Assistant to prioritize the Director’s time; following up on confidential and time sensitive issues and performing other related duties as necessary.
Requirements: Bachelor of Arts degree; minimum five (5) years office manager/executive assistant experience, preferably for a museum director or a cultural organization; museum/arts background and an interest in contemporary art world; excellent phone manner, writing, and communication skills; strong organizational skills; ability to work under pressure and prioritize and juggle many tasks; thoroughness and close attention to detail; complete discretion.
Computer Skills: Microsoft Office and Outlook required; familiarity with Raiser’s Edge helpful.
A part-time 21 hour per week membership services assistant position is available. The schedule will be Wednesday, Saturday, and Sunday. The responsibilities include implementing membership approved strategies to boost onsite membership acquisitions, renewals, and upgrades; assisting with admission for members, corporate members, and other VIPs; serving as frontline onsite customer service representative from the membership department; assisting with all onsite membership gift transactions, including opening and closing procedures; assisting during evening membership events on occasion; and performing visitor services functions if needed.
Requirements: 1-2 years customer service/sales experience in a cultural or museum setting preferred; outgoing and professional attitude; aptitude for VISTA, Raiser’s Edge and Microsoft Office; interest in museums and/or development preferred.
Reporting to the director of membership and annual fund, the manager will manage all aspects of the Whitney’s direct mail program including 5-part renewals series, acquisition, quarterly lapsed reinstatement, annual fund, and upgrade solicitations. Work closely with outside vendors to coordinate renewal, acquisition, lapsed reactivation, annual fund and telemarketing campaigns. Write and edit copy for all solicitations. Evaluate performance of each direct mail, list segment, and marketing campaign using a series of metrics that include cost to acquire, return on investment, average gift, and response rate. Develop annual revenue projections for all direct mail campaigns and implement creative strategies informed by data analysis to strengthen solicitation performance. Create and execute on production and mailing schedules for all solicitations. Provide Director of Membership with revenue analyses and ad hoc reporting for planning, forecasting, and strategic work. Assist with membership events as needed.
Requirements: B.A.; 3- 5 years of fundraising/membership experience. Must have strong organizational and management skills; excellent writing, communication and data analysis and presentation skills. Raisers Edge desirable.
A part-time security guard position (28 hours per week) is available at the Whitney Museum of American Art. The guard will be responsible on a day-to-day basis for the safe-guarding of the Museum’s Collection, loan exhibitions, and physical plant. Additional responsibilities may include admitting visitors to the Museum and giving information to the public.
Requirements: 8 and 16 hour New York State Certification; promptness; strong customer service skills; ability to stand for long periods and a neat appearance ; fire guard experience a plus, but not required. Include copies of licenses with submission.
